From the Workflows tab, click the plus symbol to add a new workflow. You have the option of creating a new workflow or copying a workflow from an existing project.
First, create a display name for your workflow. This title will be visible to end users and agents.
Note: The display name should not be more than two words. This is to prevent it from
wrapping onto a second line and expanding the button size.
- Title - Create a title to define the task. This will be visible to both end users and agents.
Note: Keep your task titles to a couple of words to avoid having the titles cut off.
- Media - Upload a media example to help the user follow your submission guidelines. The media will be displayed on the page of its corresponding task.
- Media Position - Choose the placement of media in relation to the description of the task.
Tip: Placing the media example at the bottom helps to ensure the customer reads your instructions first.
Placing the media example at the top is best used for diagrams.
- Type - Identify the type of file you want the end user to submit. Choose between an image, video, document, text, or select (conditional logic use only).
Clicking 'image' will prompt a Comment Enabled box. Having this set to 'yes' will allow users to make a comment to their photo.
Important: You will not be able to add more than one type of media to a single task.
- Description - Use the description box to communicate detailed instructions to the recipient. You will get higher quality submissions when you have well written descriptions.
- Minimum Required - Set the minimum number of submissions you require to complete a task. If the minimum is set to zero, the task is optional and will not count towards completing the workflow.
- Display Enabled - Select 'Yes' to automatically include the task in the workflow. Select 'No' if the task is optional and contingent on the use case.
- Auto Advance Task - Select 'Yes' to have the end user automatically proceed to the next task once they have completed the previous task. 'No' is the default option and users will manually have to click next to proceed further.

- Keywords - Input keywords related to the task. These can be used to search for content within the activity log.
- Save - Be sure to click save after adding a new task.
Utilizing Workflow tools and settings
There are several tools to the right of the workflow display name to help you with your workflow.
Preview Eye - Click the preview eye to see a mobile view version of your workflow while editing.
CSV File - Download a live draft of your workflow to collaborate with your team or clients.
Click the gear icon to modify the workflow settings.
- Internal Name - If you have multiple workflows with the same name, create an internal name to make sure you send the correct one. The internal name will only be visible to internal users.
- Thank You Message - Use this thank you message to override the thank you message created in your project settings.
Tip: Use the thank you message to communicate next steps to the customer.
-
Notification Inbox - Enter an email in this section to redirect notifications for this workflow to a specific inbox. This overrides notifications to the sender or the email added in the project settings notification inbox (if set).
Note: Add multiple email addresses to notify more than one collaborator when a session has new activity
with a space and a comma (i.e. upon first upload and/or completion).
- Workflow Template - Select a template background for the workflow landing page. When this feature is not customized, the system will select the default template.
That's it! You're now ready to send a workflow request. Send one to yourself or a team member to see how it looks!
